Wholesale Hair System Quality Control: An Approval Checklist for Salons

A practical incoming-quality and sample-approval checklist for bulk hair systems, from base construction and density to colour, documentation and traceability.

Buying a sample and approving production are two distinct steps. Professional buyers reduce disagreement by turning a visually approved sample into a measurable purchase specification. The process below is suitable for a salon, distributor or OEM project; adjust the criteria to the actual product type and signed supply agreement.

## 1. Lock the reference before manufacturing

Record a unique reference code, exact product name, hair fibre type, source/provenance declarations, colour swatch, curl/wave pattern, density target, base dimensions and front contour. Include high-resolution photographs of the outside and underside with a ruler and colour reference in frame. Avoid recording just “black, medium density, natural hairline”: those phrases are not sufficient acceptance criteria.

## 2. Inspect the base

Lay the base flat without stretching. Measure width, length, curvature and reinforcement zones against the agreed drawing. Inspect edges, attachment zones and transitions between lace, mono and PU. Check for loose stitching, tears, unexpected adhesive residue or a mismatch between left and right contour. For customised units, confirm how dimensions are taken from the customer's template.

## 3. Inspect hair, colour and density

Use a fixed-lighting photo station. Compare roots, mid-lengths and tips against the approved swatch. Check fibre consistency and the permitted treatment level against the supplier's written declaration rather than guessing whether the hair is “virgin.” Evaluate density at the front, crown and perimeter separately when region-specific targets were ordered. Use a standardized combing test only if the buyer and supplier have agreed how to perform and interpret it.

## 4. Inspect finishing and packing

Review the hairline, parting orientation, loose ends, knots or loops as relevant to the base. Confirm labels, barcode or batch identifier, handling instructions, package cleanliness and contents. If accessories are included, check each component against the BOM. Adhesives and liquids may require separate product safety and shipping documentation; do not treat them as ordinary hair.

## 5. Document disposition

Record a simple result for each inspection point: PASS against agreed tolerance, HOLD for clarification, or REJECT against the documented contract. Include photos and corrective-action notes. A HOLD must not become a PASS simply because a shipment deadline approaches. Keep a sample and inspection record tied to the order and lot.

## Minimum RFQ attachments

A useful RFQ contains the filled specification sheet, colour reference, underside photo, tolerance table, expected lot size, target packaging and requested quotation/lead-time dates. There is no universal “one-piece MOQ” that applies to every HACOMAX product; confirm MOQ and price for the specific model.
