2. Dock safety và flow

Inspection không được cản safety.

Có thể tách: - quick dock check; - move to receiving zone; - detailed sample check.

Không mở mọi carton giữa lối xe nâng.

Design process theo facility.

3. Shipment identity

Xác nhận: - PO; - shipment number; - supplier; - brand/customer; - carton count; - expected SKUs; - delivery note.

Nếu shipment sai PO, stop trước put-away.

Identity là control đầu tiên.

4. Carton condition

Look for: - crush; - puncture; - wet; - open seal; - retape; - deformation; - odor; - contamination.

Classify severity.

Một góc móp nhỏ khác carton ướt xuyên lớp.

5. Photo evidence

Chụp: - pallet/carton overall; - damage close-up; - label; - seal; - inside if opened.

6. Carton label

Check: - PO; - SKU range; - carton number; - quantity; - barcode; - destination; - lot nếu required.

8. Open-carton sampling

Chọn carton: - random; - first/last; - damaged; - mixed SKU; - high-risk.

Có thể combine random + risk.

Ghi carton IDs đã mở để trace.

9. Unit identity

Trong carton mở: - unit label; - SKU; - color; - length; - size; - barcode; - accessory; - customer artwork.

Một carton đúng label có thể chứa unit sai nếu packing mix-up.

Sample unit check giúp phát hiện.

10. Product appearance

Receiving không cần làm full factory final inspection nếu agreement không yêu cầu.

Quick checks: - obvious deformation; - severe tangling; - wrong color; - lace/base visible damage; - wet/odor; - missing component.

Nếu sample fail, trigger expanded inspection.

11. Packaging form recovery

If moisture reaches unit: - hold; - photo; - inspect odor/mold risk; - trace cartons; - claim route.

Không put-away sealed ẩm vào stock.

13. Odor

Strong unusual odor có thể signal moisture/contamination.

Do not mask with spray.

Hold sample/cartons and investigate.

Record when first detected.

14. Transit damage vs product defect

Receiving code nên tách: - carton transit damage; - internal packaging failure; - product manufacturing defect; - identity error; - quantity shortage.

Đây là preliminary classification.

Final cause sau investigation.

15. Damage triage

Có thể dùng: - ACCEPT; - ACCEPT WITH NOTE; - HOLD; - REJECT/CLAIM PENDING.

Status definitions phải rõ.

HOLD item không vào sellable stock.

16. Physical quarantine

Damaged/suspect cartons chuyển zone HOLD.

Không để cạnh good cartons chỉ dán sticker nhỏ.

System inventory cũng phải block allocation.

Physical + digital sync.

17. Lot traceability

Lot mixed across multiple locations cần system mapping.

18. Serial/QR

Nếu unit serialized, scan sample hoặc all according to system.

Check duplicate/unknown code.

Digital receipt có thể confirm ownership/trace.

Không nhập tay nếu barcode works.

19. ASN và system receive

Advanced Shipping Notice giúp pre-load expected data.

Receiving scan can match: - PO; - SKU; - lot; - quantity.

Mismatch should create exception.

Không force receive để close delivery.

20. Supplier packing list

Packing list is reference, not proof.

Physical count/scan matters.

Nếu packing list says 20 but carton has 18, record shortage.

Supplier correction document can follow.

21. Sampling severity

New supplier, new product, recent complaint → increase receiving inspection.

Stable supplier → reduced check.

Risk-based plan avoids inspecting everything every time.

But critical identity may remain 100% scan.

22. Mixed-SKU cartons

Mixed cartons increase complexity.

Receiving should verify: - carton manifest; - unit labels; - separator; - count.

If errors repeat, packaging strategy may need change.

Single-SKU cartons easier to receive but less cube-efficient.

23. High-value custom orders

Custom wigs/hair systems may warrant tighter inspection because replacement difficult.

Check order/customer identifier carefully.

Do not open/handle more than needed if product presentation important.

Use gloves/clean area as facility requires.

24. Customer-specific packaging

Buyer may need inspect: - logo; - insert; - price tag; - language; - barcode mapping.

Receiving can detect late if factory packing QC missed.

Hold before retail distribution.

25. Warehouse put-away

Only GOOD status is put into sellable location.

HOLD goes quarantine.

If system supports status within same location, physical separation still needed to reduce mistakes.

Put-away scan creates last link.

26. Time-to-inspect

Receiving SLA matters for supplier claim.

If buyer waits 30 days to open damaged carton, cause becomes harder.

Define window for visible transport damage reporting.

Contract may define exact deadline.

27. Unboxing photo/video

For severe/high-value damage, continuous unboxing video can support evidence.

Not required for every shipment.

Start before opening affected carton.

Show label/seal/condition.

Avoid editing that breaks chain.

28. Claim package

A strong claim includes: - PO/shipment; - carton IDs; - date; - carrier; - photos; - quantity; - damage code; - product impact; - receiving status; - requested action.

Separate transit claim from supplier quality SCAR where possible.

29. Sample retention at buyer

Buyer may retain damaged unit or packaging evidence until claim resolved.

Label and segregate.

Do not repair before supplier/carrier review if evidence needed.

Chain-of-custody matters.

30. Expanded inspection trigger

If random sample shows: - wrong SKU; - wrong color; - repeated damage; - moisture; - label mismatch,

increase sample or HOLD lot according to plan.

Do not keep normal sampling when signal appears.

31. 100% sort

High-risk identity issue may require 100% sort.

Define sort instruction and code.

Keep good vs bad counts.

Share result with supplier for root cause.

32. Receiving defect trend

Track: - damage rate; - shortage; - label error; - wrong SKU; - moisture; - packaging failure.

Trend by supplier/carrier/route.

This helps distinguish factory and logistics issues.

33. Supplier scorecard

Verified supplier-caused receiving defects can feed quality score.

Carrier damage should feed logistics metrics.

Don’t penalize wrong party due to poor coding.

Evidence classification improves fairness.

34. Feedback to packaging validation

If cartons consistently arrive crushed but product okay, packaging design may still need optimization.

If product deforms despite carton intact, internal packaging needs validation review.

Field data closes loop.

35. Receiving and re-order

Receiving inspection records can reveal drift: - color; - label; - packaging; - quantity.

For reorders, compare recent lots.

Not a substitute for factory QC but valuable downstream signal.

36. Store transfer

If warehouse redistributes to stores, receiving status must follow inventory.

A HOLD unit should not move in inter-store transfer.

System permissions and labels need support.

37. E-commerce fulfillment

Before item enters e-commerce available stock, receiving must close.

Wrong SKU or damage detected after order placement creates customer issue.

Fast receiving does not mean skip control.

Automation can help scan.

38. Training receiver

Warehouse staff need simple visual guide: - damage classes; - label fields; - hold trigger; - photo method; - system status.

They do not need full wig QC expertise.

Escalate technical appearance to QA.

39. Clean handling

Open wigs in clean area.

Avoid floor contact, dirty cutter, strong odor source.

Receiving itself should not create damage.

Tools used to open carton should not cut product.

40. Knife/cutter control

A box cutter too deep can cut unit box/wig.

Use safe opening method.

If warehouse causes cut, code as receiving handling damage, not transit.

Honest data supports improvement.

41. Example workflow

Shipment 40 cartons.

Dock count PASS, one carton corner wet.

Move to receiving. Open affected carton + random 3 cartons. Wet carton shows internal box dry; product PASS. Random carton reveals one wrong SKU label.

Trigger expanded label check across shipment. HOLD until 100% barcode sort completed.

This finds identity issue before sellable put-away.

42. Checklist receiving

1. Shipment identity. 2. Seal. 3. Carton count. 4. External damage. 5. Photo. 6. Carton label. 7. Barcode. 8. Sample cartons. 9. Unit identity. 10. Appearance. 11. Moisture/odor. 12. Quantity. 13. Lot. 14. Status. 15. Quarantine if needed. 16. System receive. 17. Claim/escalation.
