Start an OEM technical brief: Keep style names separate from measurable requirements. HACOMAX original editorial infographic
Original HACOMAX educational comparison diagram. Illustration, not an actual product photograph.

A successful OEM hair-system project starts with a version-controlled specification, not a collage of pictures. If a factory quotes from one photograph while the buyer expects a different base thickness or hair source, errors are predictable. This guide is a practical worksheet for drafting an RFQ; it is not a representation of HACOMAX's current available production capacities.

Project identity and ownership

Give the proposed model a project code and revision number. State the buyer's brand, the target customer, whether the order is a stock adaptation or new development, and who may approve technical changes. The buyer should hold rights to logos, packaging artwork and supplied reference images, or identify the appropriate licences.

Use “to be confirmed” instead of inventing a density percentage, attachment compatibility or unit lifespan.

Sampling, revisions and approval

Request a quotation that separates sample fees, production price and any custom tooling or packaging charges. Confirm currency, payment terms, batch size, quality-control method and delivery assumptions in writing. Maintain revision history: when the buyer changes curl diameter or front density after sample approval, treat the change as a new baseline until the supplier confirms its effect.

Quality and commercial readiness

Before a catalog page promises “available,” confirm the model is actually producible under the buyer's agreed specifications, the artwork has commercial rights, and stock or lead time has evidence. Public competitor prices are not HACOMAX quotations.

Next steps for purchasing teams

Send a completed specification, clear front/side/base images of licensed reference samples, target quantity, destination and desired delivery window. Ask the supplier to return an itemised quotation with exceptions highlighted. Keep decisions linked to the same model revision.
